Create a Data Share or Data Share Request

Select the Correct Organisation
- In the left-hand menu under LINKED DATA, click on Data Shares.
- In the Organisation Type Bar, select the organisation type that matches the organisation you wish to share your data with.
- Locate the organisation you wish to share data with in the index.
- If you cannot locate the correct organisation in the list, you may need to use the Pagination Controls to select the next page(s).
- The index can be filtered using the Search Bar.
- When the correct Organisation Name has been located, click on its corresponding Organisation Details button ( ).
The Organisation List is sorted so that organisations with the most existing active or future data shares will appear first.
Select the Desired Type of Share
- In the upper right, click Data Sharing with Organisation.
- In the drop-down menu that appears, click either:
- Create Data Share with Organisation
- Request Data Share from Organisation
or
Configure the Data Share
All Data Shares must be configured before they will become active.
This process is highly granular and users are able to explicitly control which asset data that is shared, including the date range Voyage Logs and Hub Reports should fall into to be considered accessible by the recipient of the share.

- Share Voyage Logs

Whether to include Voyage Logs as part of the Data Share (only applicable to Vessels - cannot be shared with Terminal Operators).

- Voyage Log Visibility End Date
- Share Hub Reports
- Whether to include Hub Reports as part of the Data Share.
- Hub Report Visibility Start Date
- Hub Report Visibility End Date
- Share Documents

Whether to include Documents as part of the Data Share.

- Share Photos

Whether to include Photos as part of the Data Share.

- Notes

Any notes regarding the Data Share, i.e. the specific reason it was created e.g. "Data Share for vessel 'X' with charter company 'Y'".

Complete the Creation
Depending on whether you are creating a Data Share, or a Data Share Request, click Create Data Share, or Request Data Share as appropriate.
- Data Shares will become active as soon as the Data Available From date is reached.
- Data Share Requests will become active as soon as they have been approved and the Data Available From date is reached.
The Data Share or Data Share Request has now been created.
Customising Visibility of Voyage Logs and Hub Reports
Voyage Log and Hub Report visibility within a Data Share can be constrained to specific date ranges that do not need to align with the overall date that the Data Share will be active.
Example
A Data Share is created against a Vessel.
- Data Available From is set to 1st April 2024
- Data Available To is set to 30th April 2024.
- Share Voyage Logs is set to 'Yes'.
- The Voyage Log Visibility Start Date is set to 1st January 2024.
- The Voyage Log Visibility End Date is set to 31st January 2024.
This configuration results in the recipient of the Data Share having visibility of all Voyage Logs relating to the subject Vessel that have a date that falls in January 2024 only, and they may only view this data within the month of April 2024 (the Data Share Available From/To dates).
Voyage Log/Hub Report visibility dates may be set outside the overall Data Available dates of the Data Share.
